Who this is for

13 tasks for running a charity fundraiser — setting a target, budget, venue, sponsors, ticketing, the ask itself, and the follow-up. Written for volunteers and small charity teams rather than professional fundraisers.

Set the net target, not the gross

Decide early what the event needs to clear, then work backwards through costs. Fundraisers that measure themselves on money raised rather than money kept routinely discover afterwards that catering, venue, and printing ate half of it.

Sponsorship is the lever that changes this arithmetic more than ticket price does. A sponsor covering the venue turns every ticket into near-pure donation, and local businesses say yes more often than people expect — because nobody asked them.

The ask needs a moment and a person

The single biggest predictor of what an event raises is whether there was a clear, well-timed ask delivered by someone credible. Not a donation box by the door. A specific moment in the evening, a specific number, a specific thing the money does.

Give whoever makes it real preparation time. Two minutes, well-written, told through one concrete story rather than statistics.

Make giving frictionless

Card readers, a QR code on every table, a link that works on a phone with poor signal. Every extra step between I'd like to help and money moving loses a percentage of the room.

Follow up within the week

The thank-you and reporting tasks aren't courtesy — they're what makes next year's event easier. Tell people what the total was and what it funded. Donors who hear the outcome give again.

Timing

Turn on due dates and start three to four months out.
